Colorado School of Mines is seeking a Registrar Advisor to help shape the academic journey of tomorrow’s engineers, scientists, and leaders. Responsibilities:

Records and Registration Management (60%)

  • Work directly with current and prospective Mines students, advisors, and program directors on all manner of enrollment, records, and degree topics. In this role, position must have broad understanding of institutional and programmatic degree requirements so that she/he can provide timely advice to students and faculty as they navigate the institution’s policies and procedures related to student progress toward degree, graduation, creation of new degree programs, etc. Student populations include those enrolled in undergraduate and graduate programs located both in residence on campus and online.

  • Enforce institutional standards while working independently to interpret acceptable variations from policy to appropriately resolve issues as they arise. Develop and implement new procedures and systems to effectively serve Mines constituents. Assist students and campus advisors with technology questions related to Registrar services.

  • Support and assist students, faculty, advisors, and administrators with activities related to grading, registration, and student records management.

Compliance Management (20%)

  • Primary management of student records, in accordance with FERPA, including but not limited to, transcript requests, verifications of enrollment, receipt of grades, address data entry, and ongoing academic record maintenance. Determine the processes and coordinate the records management for all active and former student files.

  • Track, audit, and communicate degree requirements and progress toward degree for all students. Review and process degree conferral (including requirement fulfillment, degree processing, and diplomas) and work collaboratively with office staff and Academic Affairs to produce a successful commencement ceremony.

Customer Service Support (10%)

  • Provide assistance and responses to student, faculty, advisor, and staff phone, email, and in-person requests for information related to Registrar Office functions including, but limited to Registration, Grading, Curriculum Updates, Transcripts and Certifications, Degree Audit Evaluations, and Graduation clearance.

  • Attend regularly scheduled meetings on campus or remotely when available.

Special Projects and Registrar Office Representation (10%)

  • Lead one-time special projects to support programs and Registrar Advisor initiatives.  Attend meetings to represent the Office of Registrar with all campus partners.​ 

  • And other duties as assigned.

Minimum Qualifications: 

  • A bachelor's degree from an accredited college/university.

  • 2+ years of experience in college admissions, student advising, systems or similar work environments. 

  • Outstanding professional oral and writing communication skills

  • 2+ years of technical systems experience and demonstrated ability to use systems to maintain student records and produce reporting records or similar work. 

  • Experience processing and organizing large volumes of data or paperwork relative to students and have solid understanding of academic processes, as well as courses and terms relevant to the institution.

  • Experience identifying and utilizing data in decision making.

  • Experience in a fast-paced environment with deadlines and the need for accuracy and attention to detail.

Preferred Qualifications:

  • Familiarity and/or prior work experience in an academic institutions and familiarity with accreditation agencies and federal regulations that pertain to student records.

  • Experience with Banner, Degree Works, and Cognos experience or related student information system.

  • Experience in multiple areas of the registrar functional areas.

  • Experience working with Veterans Benefits, College Opportunity Fund, transcript credit evaluation, graduate programs, International students, etc.

Decision Scope

Position has the authority to determine if an incoming or current students meets status, degree, or registration requirements. Position is given broad authority to make procedural decisions in reference to the verification of applicants, including making technology changes. Position responds independently to Veteran’s Administration and other external agencies. Position must ascertain when a student should be directed back to their academic department for guidance. Position has authority to communicate policy hardships to the department.


Communications

The Registrar Advisor will be expected to communicate with, train and advise the Registrar staff, prospective students, current students, faculty and the administration on a regular basis, and has the authority to represent the unit externally. Accurate, timely, diplomatic, and consistent communication with all of these parties is absolutely vital to the position.  Positions handles confidential and sensitive information with discretion in accordance with State and Federal laws. Independently train faculty and staff on functions and policies of the office. Communicate with prospective and current students as well as alumni. Work with vendors as well as peer institutions. Create materials and web content and editing to support the Registrar Advisor positions.

Work Environment and Physical Demands

The work environment is within an office setting.  Occasional travel – on campus or off campus may be required to attend meetings, conferences or other functions.
